Guidelines and Requirements for Annual Awards

INTRODUCTION AND GENERAL INFORMATION

HVGRC offers two types of Annual Awards to its membership:

    • Title Recognition Plaques
    • Challenge & Perpetual Trophies

The competition year shall be the previous calendar year beginning January 1 and ending December 31.  A more detailed description of these awards as well as their specific eligibility requirements will follow in separate sections.

Recipient Eligibility For All Annual Awards

  1. The recipient must be a member in good standing with HVGRC and the AKC for the competition year.
  2. In the case of co-owned dogs, unless otherwise specified in the individual award/trophy description, only one co-owner need be a HVGRC member in good standing to be eligible for HVGRC awards. All co-owners, whether HVGRC members or not, must be in good standing with the AKC.  The dog’s primary residence must be with the HVGRC member.

2. APPLYING FOR AN ANNUAL AWARD

APPLYING FOR AN ANNUAL AWARD

To be considered for an Annual Award (Title Plaque and/or Challenge/Perpetual Trophy), members must apply to the Annual Awards Chairman via mail and/or email as specified. The identity of the Annual Awards Chairman as well as general application instructions will appear on the HVGRC website, in the HVGRC Newsletter and will be announced via email to the membership.  The deadline for submitting applications for these awards will be determined by the Awards Chairman and will be published in the HVGRC Newsletter and will be announced via email to the membership.  Proof of each dog’s eligibility must accompany the application.  The date of the Annual Awards Presentation meeting will be announced via email to the membership as well as published in the HVGRC Newsletter.

 

Documentation information and requirements are as follows:

— For all AKC titles (either of the following):

  • Photocopy of the AKC title certificate
  • Photocopy of dog’s AKC Competitors Report: Individual Dog Points and Awards Report

— For GRCA titles:

  • Photocopy of official GRCA certificate (CCA, WC, WCX, VC, VCX)

— For GRCA Awards of Merit:

  • Photocopy of official Merit certificate (SDHF, ODHF, FDHF, OS, OD)

— For Hunting and Field Perpetual Trophy (Field Trial Placements or JAMS):

Along with the dog’s and club member’s name, supply the following information for

each win/placement:

  • Name and date of field event
  • Win/placement earned
  • Photocopy of dog’s AKC Competitors Report: Individual Dog Points and Awards Report where applicable.
  • Signed and dated form for Club Sanction and/or Gun Dog Events (ie. those events not recorded by the AKC).

— For Obedience, Agility and Conformation Challenge Trophies:

Along with the dog’s and club member’s name, supply the following information for

each win/placement:

1)  Name and date of show/trial

2)  Win/placement earned (i.e., 3rd place Utility, HIT, BOS, etc.)

3)  Photocopy of dog’s AKC Competitors Report: Individual Dog Points and Awards Report

 

Annual Awards Chairman

The Annual Awards Chairman shall receive all proofs of eligibility for Title plaques and Challenge/Perpetual Trophies by mail and/or email as specified by the Chairman for that calendar year.  The deadline for the receipt of these materials will be strictly adhered to.  It is not the Awards Chairman’s responsibility to contact members for the purpose of prompting their participation.

In addition, the Annual Awards Chairman shall:

  • Verify the eligibility documentation that has been submitted. This will include contacting the HVGRC Treasurer to ensure the recipient was/is in good standing for the appropriate time period.
  • Order the appropriate Title Plaques from an approved Trophy/Awards shop. Records should be maintained and reflect where past orders have been placed.
  • Contact all current year’s recipients with instructions to ensure the return of all Challenge/Perpetual Trophies prior to the HVGRC Annual Awards meeting.
  • Attend HVGRC Annual Awards meeting, unpack, inspect and display the plaques and trophies.
  • Coordinate the signing of the Challenge/Perpetual Trophy Recipient Agreements at the conclusion of the annual awards meeting.
  • Store any unawarded or unclaimed trophies/plaques. Challenge/Perpetual Trophies will not be mailed to recipients under any   Title Plaques will be mailed as a last resort if other arrangements cannot be made.  However, postal charges and mailer costs will be the responsibility of the recipient.
  • Keep up-to-date records of all HVGRC award recipients and provide inquirers with Award Guidelines and related information.
  • Notify the Editor of the HVGRC Newsletter as to the recipients of the Challenge/Perpetual Trophies. Include the name of the trophy and its donor.

New Trophies

Ideas for new trophies may be submitted to the Board of Directors at any time provided they are not duplications of an existing award.  Only trophies offered for significant accomplishments should be submitted.

Trophy Ownership

Any trophy donated shall become the property of HVGRC until permanently retired, if so stipulated.  If any trophy has not been challenged for five (5) years in succession, the Board of Directors may, where possible with the consent of the donor, change the original stipulations.

3. HVGRC TITLE PLAQUES

HVGRC TITLE RECOGNITION PLAQUES/PLATES

 

All dogs and their owners that have completed the requirements for one or more AKC titles and/or earned GRCA Title Certificates (CCA,WC, WCX, VC, VCX); and/or have been awarded GRCA Awards of Merit (SDHF, ODHF, FDHF, OD, OS), are entitled to receive from HVGRC, an engraved plaque commemorating these achievements.

One plaque will be given for each dog earning one or multiple titles. Duplicate plaques will be given to each co-owner providing each one meets the eligibility requirements below.  (Co-owners that are not HVGRC members are not eligible for plaques.) Engraved plates will be given for new titles earned by member’s dogs, to be added to existing plaques.

Title Plaque Eligibility Requirements

  • The recipient must have been a member of HVGRC on the date the dog earned its title(s).
  • The recipient must have been a member in good standing during the competition year.
  • The recipient must be the “Owner of Record” as it appears on the AKC/ILP

Registration Certificate, on the date the dog earned its title(s).

Other Titles/Accomplishments

Although a lot of time and effort goes into acquiring foreign titles (Bda, Can, Mex), and/or other Kennel Club titles (United KC), plaques will not be given for these accomplishments.  However, it is important for the Awards Chairman to be made aware of these distinctions so verbal recognition of these achievements can be made at the annual awards meeting.  A photocopy of the award certificate is acceptable proof.

GCH CH HILLOCK’S SUNFLOWER GOODNIGHT MOON CGCA BN TKI TROPHY

This Conformation Challenge trophy will be awarded to the HVGRC member-owned Golden Retriever winning the greatest number of  AKC Best of Breed awards during the calendar year.

MACH4 OTCH MORNINGSTAR’S SKY HIGH IQ ADHF OBHF UDX OM3 MXG MJG CGC

Rededicated in 2020 by Jean Owen

This Obedience Challenge trophy will be awarded to the HVGRC member-owned Golden Retriever amassing the greatest number of points during the calendar year.  Points will be computed for obedience trial placements as follows:

 

High in Trial                                         10 points each

First Place                                               4 points each

Second Place                                          3 points each

Third Place                                             2 points each

Fourth Place                                           1 point each

 

MACH3 ROSE LAKE’S SMALL MIRACLE MASTER AGILITY PERPETUAL TROPHY

Donated by Paul and Marilyn Ingvoldstad in 2004, this Perpetual Trophy is to be awarded to the HVGRC member-owned Golden Retriever amassing the greatest number of AKC MACH points during the calendar year. Each MACH point is worth one point and each double qualification (QQ) is worth the equivalent of 37 MACH points.

Acceptable proof of MACH points and QQs is a copy of the previous year’s AKC Online Awards Report for the dog,
which must be provided at the time of application for the Trophy.

MACH 2 CROSS CREEK SWATCH OF PEBWIN AGILITY TROPHY

This Challenge Trophy was donated in 2004 by Christine Miele.
The intent is to reward and encourage entry level Agility competition.

The criteria for selecting a winner:
This Trophy is to be awarded to the HVGRC Member in Good Standing who has the winning competition record in the following Agility classes:  Novice A, Novice B and Open in Standard and/or Jumpers With Weaves.  The HVGRC member must be in good standing during the year in which scores were earned, and at the time of presentation of the Trophy.
A maximum of 12 scores may be submitted:
3 from Novice Standard, 3 from Novice Jumpers
3 from Open Standard and 3 from Open Jumpers
Application for the Trophy can be made with fewer than 12 scores.

Scores are calculated as follows:

The dog’s score (100-90-85 <tel:100-90-85>  etc.) is added to the difference between Standard course time and the dog’s actual time.  Times would be rounded down if over Standard course time and rounded up if under Standard course time
consistent with AKC scoring regulations

For example:

A dog with a score of 95 who is 8 seconds under Standard course time, would have a score of 103.
A dog with a score of 100 who is 8 seconds under Standard course time would have a score of 108
The dog with the highest score wins the Trophy.

 

WINDRUSH FIELD TROPHY

Donated in 1995 by Lisa Weinberg and Art Breslau

                This Hunting and Field Perpetual Trophy will be awarded to the HVGRC member-owned Golden Retriever who accumulates the most points in AKC Hunt Tests and Upland Hunt Tests, Licensed Field Trials, WC/WCX Tests and Gun Dog Stakes during the calendar year.  If two dogs or more dogs have the same number of points, all dog’s names will be engraved on the trophy.

The Point Scoring system applicable to this trophy follows:
